2.0 Purpose and Scope
2.1 Purpose
This policy outlines directives and guidelines for program registration, payment, and cancellation to ensure transparency, fairness, and effective program and financial management for participants and the Club.
2.2 Scope
This policy is issued under the authority of the Petrie Island Canoe Club’s Board of Directors.
3.0 Registration
3.1 Registration Age Class
Participants must register in their appropriate age classification:
3.1.1 Mini Canoe Camp
Ages 4 to 8 on January 1 of the programming season.
3.1.2 Canoe Kids Camp
Ages 7 to 12 on January 1 of the programming season.
3.1.3 Regatta Ready Camp
Ages 9 to 13 on January 1 of the programming season.
3.1.4 U10 Sprint
Ages 8 to 9 on January 1 of the competition year.
Note: Participants aged 7 may be permitted if they have completed at least one Mini Canoe Camp season or one Canoe Kids Camp week.
3.1.5 U12 Sprint
Ages 10 to 11 on January 1 of the competition year.
3.1.6 U14 Sprint
Ages 12 to 13 on January 1 of the competition year.
3.1.7 U16+ Sprint High Performance
Aged 14 or older on January 1 of the competition year, with Head Coach approval.
- Training groups may differ by ability and development at the discretion of the Head Coach.
- The program follows Canoe Kayak Canada’s Long-Term Athlete Development Plan.
3.1.8 Masters Sprint, Dragon Boat, and Adult Recreation Programs
Participants must be aged 18 or older (25+ for Masters Sprint). Exceptions may be considered.
4.0 Payment
4.1 Full Summer or Full Season Programs
4.1.1 Payment in Full

- Credit card payment (3% transaction fee)
- Personal or certified cheque to 679 Farmbrook Crescent, Orléans, ON K4A 2L3
4.1.2 Minimum Deposit
25% of total program cost if not paying in full.
4.1.3 Registration Waivers
Signed waivers, code of conduct, and concussion code of conduct forms are required.
4.1.4 Volunteer Deposit – Sprint Programs Only
Volunteer deposits are included in registration fees and refunded upon completion.
4.2 One- and Two-Week Camps
Payment and waiver requirements apply as outlined above.
5.0 Cancellations
5.1 Five-Week, Full Summer, and Full Season Programs
- Full refund minus $50 if cancelled 4 weeks before start
- 25% fee within 4 weeks of start
- No refunds once program begins or for no-shows
5.2 One- and Two-Week Programs
- Full refund minus $50 if cancelled 4 weeks before start
- 50% fee within 4 weeks to 1 week before start
- No refunds within 1 week of start
6.0 Policy Implementation
6.1 Policy Owner
The Registrar, or designate, is responsible for implementation.
6.2 Annual Review
This policy will be reviewed annually.
